Wedding Catering Planning Checklist (Timeline & To-Dos)
Catering is one of the few wedding decisions with a real deadline chain β miss one step and the next gets harder. Here's the order that actually works.

3+ months before
Book your caterer and lock your guest count range. Confirm venue kitchen/setup access and get a written quote.
6-8 weeks before
Finalise your menu category by category β starters, mains, breads, live counters, desserts. Confirm any dietary requirements from both families.
3-4 weeks before
Confirm your final live counter selection and staffing plan. Finalise multi-day coverage if you have haldi, mehndi or sangeet functions.
1-2 weeks before
Lock your final guest count for catering purposes. Confirm serving times for each function and setup/clearance windows with the venue.
Final week
Reconfirm everything in writing β menu, guest count, timing, live counters β and share the venue's access details with your caterer.
Event day
Your caterer should arrive with enough lead time to set up before the first guests, and keep live counters staffed through peak serving hours.

Frequently asked questions
How far in advance should I book my wedding caterer?+
At least 2-3 months ahead, and earlier during peak wedding season β popular dates fill up caterers' calendars quickly, especially for larger events.
When should I finalise my final guest count?+
Aim to lock your final catering guest count 1-2 weeks before the event β most caterers need this lead time to finalise staffing and ingredient quantities.
Can I change my menu after booking?+
Usually yes, up to a few weeks before the event β check your caterer's specific cutoff for menu changes and live-counter additions when you book.
What should I confirm in writing before the wedding day?+
Final menu, guest count, serving times for each function, live counter list, and setup/clearance access windows at your venue β get all of this confirmed in writing during your final week.
Do I need a different catering plan for multi-day wedding functions?+
Yes β haldi, mehndi, sangeet and the main event often have different guest counts, timings and menu needs; plan each function separately rather than assuming one menu fits all of them.
